Choose only useful lead fields

Start with the minimum information required for a real next step: usually name, email or phone, company when relevant, and a short description of the need. Add custom fields only when they change qualification, routing or follow-up.

Lower friction wins. A shorter form with a clear reason for each question normally converts better than collecting every possible detail.

Choose the collection method

FADA can collect details naturally during the conversation or through a structured form, depending on configuration. Define the fields, required status and visitor-facing wording. Enable partial-lead handling when an incomplete but useful conversation should still reach your team.

Configure notifications

Add monitored email recipients and/or an approved webhook URL. Use the test-notification control before launch and verify the real message at the destination.

  • Make the responsible person and expected response time clear.
  • Send only the data needed by the receiving system.
  • Protect webhook endpoints and rotate exposed credentials.
  • Avoid sending sensitive information to unapproved destinations.

Connect Cal.com or Calendly

Open Scheduling and choose the supported provider. Add the required API credential, event type and location or timezone settings. Calendly may require a paid plan for the supported appointment workflow.

A calendar link is not a booking confirmation. The agent should only confirm an appointment after the connected provider returns a successful booking.

Add the required booking behaviour

Use the provider’s required prompt instructions and align the system prompt with the intended booking flow. Define what information must be collected before availability is shown and what happens when no suitable slot exists.

  • Never invent availability.
  • Show times in the visitor’s relevant timezone.
  • Confirm the exact selected slot before booking.
  • Provide a callback or human-handoff alternative when booking fails.

Run an end-to-end conversion test

  1. Start a new visitor conversation.
  2. Complete the qualification path.
  3. Submit all required lead fields.
  4. Select and confirm a real test slot.
  5. Confirm the booking in the scheduling system.
  6. Confirm the lead in FADA and every notification destination.
  7. Cancel or label the test appointment.
